How to Forward Calls from Ooma Office to Ringing.io

Configure Ooma Office call forwarding in three ways: the Office Manager (per-extension Call Handling), the End User Portal, or the *72 / *73 phone codes — plus Virtual Receptionist schedules for after-hours routing.

Ooma Office forwarding is per-extension. Admins configure it in the Ooma Office Manager (office.ooma.com) under Settings > Extensions > the extension > Call Handling. End users can configure their own via the End User Portal or the Ooma Office mobile app. For true business-hours scheduling, route the main number to a Virtual Receptionist with a custom schedule rather than using a star-code workaround.

Forward every call to Ringing.io (per extension)

Set the extension's Call Handling to forward immediately to your Ringing.io number — your Ooma devices will not ring.

When to use this: You want the AI receptionist to answer all calls to this Ooma extension.

    Sign in to Ooma Office Manager

    Go to office.ooma.com and sign in with your administrator credentials. (End users can use the End User Portal — same flow.)

    Open the extension

    In the left nav click Settings > Extensions, then click the extension number you want to forward.

    Open Call Handling

    Click the Call Handling tab for that extension.

    Choose "Forward it immediately"

    In the "When a call comes in" dropdown choose "Forward it immediately". Under "Forward to", choose "My Forwarding number" and enter your 10-digit Ringing.io number in the popup.

    Set "Require key press on answer" to OFF

    When forwarding to an AI receptionist that will pick up automatically, turn off "Require key press on answer" so Ringing.io can answer without dialing 1. (Leave it ON only if you are forwarding to a personal mobile and want to confirm answers.)

    Save and test

    Click Save in the popup and Save the extension settings. Call the extension from outside — Ringing.io should pick up.

How to undo: Open Settings > Extensions > the extension > Call Handling, change "When a call comes in" back to "Ring my devices" (or your previous setting), and Save. You can also dial *73 from the Ooma device to disable forwarding instantly.

Note: Star-code alternative: from any Ooma phone, dial *72 + the 10-digit Ringing.io number + # to turn forwarding on. Dial *73 to turn it off. The star codes only set the "always forward" mode — for time-based or conditional rules use the portal.

After-hours only — Virtual Receptionist routes nights to Ringing.io

Use Ooma Office's Virtual Receptionist with a custom schedule so callers reach your team in business hours and Ringing.io after-hours.

When to use this: You want a real time-of-day split on your main company number with no manual toggling.

    Open Virtual Receptionists

    In Ooma Office Manager, go to Settings > Virtual Receptionists and click the receptionist that handles your main number (or create one if you do not have it yet).

    Open the Schedule tab and create a Business Hours schedule

    Click the Schedule tab > +Add > Add schedule. Name it "Business Hours", select each day of the week and drag down to mark your open hours (15-minute granularity). Save.

    Configure the Business menu

    Open the Business Hours menu. Keep your normal options (transfer to an extension, ring a group, IVR keys) so daytime callers reach your team.

    Configure the After Hours menu to forward to Ringing.io

    Open the After Hours menu. Add a key option (or set the timeout action) to "Forward call" and enter your 10-digit Ringing.io number. To skip the menu entirely after hours, set the receptionist's "no-input" timeout to immediately forward.

    Add holiday closures (optional)

    Back on the Schedule tab, +Add > Add holiday list. Add your closure dates so they route through the After Hours menu too.

    Save and test

    Save the Virtual Receptionist. Temporarily mark the current time as "after hours" in the schedule and call the main number — it should land at Ringing.io. Restore the real schedule when confirmed.

How to undo: Open the Virtual Receptionist > After Hours menu and change the forward action back to your previous destination (voicemail, queue, etc.). Or remove the After Hours forwarding action entirely.

Note: Up to five custom schedules can be assigned to a Virtual Receptionist on Ooma Office Pro Plus. Pro and Essentials plans support a single schedule split into Business / After Hours.

Ring devices first, forward unanswered to Ringing.io

Ring your Ooma desktop / mobile / desk phones first, then forward to Ringing.io if you do not answer.

When to use this: You want to answer calls live when you can but never let one drop to voicemail.

    Open the extension > Call Handling

    Office Manager > Settings > Extensions > select the extension > Call Handling tab.

    Set "When a call comes in" to ring your devices

    Choose "Ring my devices" (or "Ring my devices, then forward") so your Ooma desktop, mobile, and desk phones ring first. Set the ring timeout (typically 20-30 seconds).

    Set the unanswered action to forward to Ringing.io

    Under "If unanswered" (or the equivalent fallthrough setting) choose "Forward to my forwarding number" and enter your 10-digit Ringing.io number. Save the popup.

    Confirm voicemail is bypassed

    Make sure the fallthrough goes to the forwarding number rather than voicemail. If both are configured, Ooma uses whichever comes first in the chain — adjust the order so the Ringing.io forward wins.

    Save and test

    Save settings. Call the extension and let it ring — after the timeout the call should reach Ringing.io rather than Ooma voicemail.

How to undo: Open Call Handling and change the "If unanswered" action back to "Send to voicemail" (or your previous setting). Save.

Note: If you also need to handle "all devices offline" (internet outage), Ooma exposes a separate fallback under Call Handling — point that at the same Ringing.io number so callers reach the AI even during a local outage.

Will my Ooma Office number still ring if my internet goes down?

Yes if you configure the "all devices offline" fallback in Call Handling. Set that fallback to your Ringing.io number — when your local devices go offline (power outage, ISP failure), Ooma's cloud routes the call to Ringing.io instead of dropping it.
